Take notes for me in Google Voice

• This feature supports one language at a time. Multiple languages spoken in the same call aren't currently supported.
• This feature is available in Web, Android, and iOS.

Use "take notes for me"

Important:

• The feature is recommended for meetings that last between 30 seconds to 8 hours.
• If your admin has enabled automatic calls, then incoming calls, outgoing calls, or all calls will be recorded, transcribed, and summarized as default. Learn more about admin settings.

1. On your computer or a mobile device, open Google Voice.
2. When in a call, to record, transcribe, and take notes, at the bottom right of your screen, click Notes 👁 Image

   • You hear a disclaimer when you start taking notes. All participants in the call hear either: “This call is being recorded and captured by AI” or a custom disclaimer from your organization's admin.

The person who initiates the feature can access the call summarized notes directly through the call logs in the Google Voice app.

Sometimes, you can’t find or turn on the “Notes” button if:

• Smart features are off: To turn on this feature:
  1. Go to Google Voice settings 👁 and then
     Privacy & Terms.
  2. Under "Google Workspace smart features," click Manage.

How can I turn on AI note-taking for my calls?

Admins also have the ability to turn on the feature in Admin settings in the Google Voice app.

Who can start or stop note-taking during a call?

• For on-demand recording, transcription, and note taking: You can start or stop "take notes for me" manually as long as your admin has turned on the feature.
• For automatic recording, transcription, and note taking: If your organization records calls automatically, only an administrator can turn "take notes for me" on or off for the entire organization.

Consent & privacy

What announcement do callers hear when "take notes for me" is active?

All parties in the call will hear the audio notification: "This call is being recorded and captured by AI." For standard telephony calls, this audio announcement is the primary method of consent and notice, as visual indicators aren't available through carrier networks.

If you hear a different audio notification, it’s because your organization's admin has changed the audio notification to a custom audio notification.

How do participants acknowledge receipt of recording notice?

Staying on the line after the audio announcement serves as transparency that AI note-taking takes place. If a participant doesn't wish to participate in a call driven by AI tooling, they should hang up before the announcement ends.

Who receives the summary and notes after a call?

The person who initiates "take notes for me" during the call receives an email. This email includes a meeting summary and next steps when applicable. They can also find the recording, transcription, and the AI generated summary from within the Google Voice app’s call logs.

Who has permission to access the transcription?

The person who initiates "take notes for me" during the call has exclusive access to the recording, transcription, and summary.

How do I share the notes with other people?

Direct sharing of the notes document isn't currently supported. Email forwarding is possible and the recipient will be able to view the summary not the recording.

Is my call data used to train AI models?
