Note: Google Docs variables are available only for eligible work or school accounts, might not for personal ones.

• Fill in repeated info: Use a variable chip (e.g., “client name”) to auto-update all instances when edited once.
• Reusable templates: Build templates with variable chips for easy reuse across similar documents.
• Ensure consistency: Avoid typos and keep documents uniform — edit once, update everywhere.

Note: Google Docs variables work for simple data like names, dates, and addresses, not for complex calculations or dynamic content.

Steps to Create and Use Variables in Google Docs

Follow this step-by-step guide on creating and using variables in Google Docs to streamline your document editing. Creating variables in Google Docs is straightforward. You can transform repetitive text into variables, saving time and reducing the risk of errors.

Step 1: Open the document/template in Google Docs

Open your document in Google Docs. Here I am using a mock Legal document to settle a dispute.

Step 2: Select the Word you want to Convert into a Variable

Find an appropriate word in the document that is repetitive and you would want to convert it into a variable.

Step 3: Type '@' and Select Variable

Type @ to open the Smart Chips menu, then select Variable from the list.

Step 4: Name the Variable and Click Create

Enter a name for the variable (e.g., “Client Name” or “Party A”) and click Create. The variable will be inserted into the document.

Steps to Insert a Variable in Google Docs

Find out how to insert variables into Google Docs for efficient document editing and management. You can insert variables into other parts of your document to keep all your instances consistent and easily updated.

Step 1: Select all the other same Words you want to Add to the Variable and click on 'Insert' in the Variable Panel

Select all the other words that you wish to change in the same way. Here, 'Party A' is selected, and then on clicking 'Insert', it's also included in the same variable.

Steps to Create a New Variable in Google Docs

Create new variables in Google Docs to handle multiple dynamic data points in your documents. To add more variables, simply click on "New Variable" in the Variable Panel and follow the same steps to integrate them into your document.

Step 2: Give a Relevant Name to the New Variable

Give this new variable a relevant name from the document that is repetitive. Here I am using 'Party B' as the name of the new variable.

Step 3: Select the Text you want to Include in this new Variable and Press Insert

Select the text you want to include and press Insert (from the variable panel) in this new variable same as we did previously for 'Party A'.

Step 4: To set a Value for the Variable, Click the Variable in the Document, Type the Value, and Press Enter

Click on the variable in the document, type the value, and press Enter. The variable will update across the document with the assigned value.

Step 5: Preview Changes 

Steps to Modify a Variable in Google Docs

Modify existing variables in Google Docs to quickly update information throughout your document. You can update the values of your variables at any time, and all instances of that variable will automatically reflect the changes, ensuring consistency.

Step 1: Select the Variable to be Modified in the Doc Area.

• Select the variable in the document and update its value. (as highlighted in the picture below)

Step 2: Save the New Variable

• Press Enter to apply the new value. The updated value will reflect across all instances of the variable.

Steps to View and Navigate all Variables in Google Docs

• We can view all variables in the Variable Panel on the right-hand side. Open the panel using the @ symbol or from the Insert menu, then click on any variable to navigate to it in the document.
• All the selected words of a particular can be viewed by clicking on those 3 dot menu next to the particular variable.
• A variable can be deleted as well by using the delete icon of a particular variable.
