Here are some of the questions you can ask yourself.

  • What are my biggest time wasters, and how can Notion help me eliminate them?
  • What information do I frequently need to access (a book tracker, subscription database, journal, meeting notes, and more)?
  • What level of complexity am I comfortable with?
  • What existing apps do I want to replace with Notion?

6 Import data from existing apps

Don’t leave your data behind

Thanks to its versatility, you can use Notion to manage tasks and projects, jot down notes, create a habit tracker, and even build a digital journal. Overall, it can replace multiple apps in your workflow. If you already use tools like Evernote, Trello, Asana, Google Docs, or Word, it’s important to import data from them before getting started.

You can simply head to Settings > Import, pick your preferred service, and follow the on-screen instructions to complete the process.

Don’t try to import everything at once. Start with a small sample to ensure the import process works correctly.

5 Get started with templates

Why would you start from scratch?

The template gallery is the heart and soul of Notion. In addition to the hundreds of Notion templates, you can access an extensive library with thousands of options provided by existing users. They offer a starting point that you can then personalize to fit your unique needs. Templates can also spark inspiration for new ways to organize your life and work. You might discover use cases you hadn't considered.

Whether you want to create a sales CRM, financial dashboard, product roadmap, trip planner, life manager, or assignment tracker, you have ample options to get started.

Don’t overwhelm yourself with complex templates that have widgets, formulas, automation, and more. As a beginner, start with a basic template for meeting notes, weekly agendas, and task management.

4 Build your core workspaces

Create your knowledge base

Building your core workspaces in Notion is like constructing the foundation of your digital home. It's where you'll spend most of your time, so it's crucial to get it right. You should start with a task management database with reminders and a weekly agenda and create another page for your projects with tasks, due dates, status, assignee, and more.

For knowledge management, create dedicated databases for various note types and leverage nested pages to organize information effectively. You can even integrate Gmail Calendar to manage your schedule like a pro. By building these core workspaces, you'll create a solid foundation for your Notion system. You should start simple databases and gradually add complexity as needed.

3 Explore databases

Manage your information efficiently

Notion's database views are a game-changer for organizing and visualizing your life's information. Table views efficiently handle structured data, while gallery views visually represent information (like displaying your favorite books, travel places, and more). Similarly, calendar and timeline views provide powerful scheduling and project planning, and board views offer a dynamic way to track progress.

And, with the ability to create charts directly from your databases, you gain valuable insights into your data. This versatility ensures that every aspect of your life, from tasks to long-term goals, finds its perfect place within your Notion ecosystem. You can simply use the slash (/) command, type your preferred database view, and hit Enter to insert it on a page.

2 Take advantage of synced blocks

Update Notion blocks in real-time

Synced blocks is one of the Notion hacks I wish I knew earlier. They allow me to create a block (or a group of blocks) of content that can be duplicated and placed across multiple Notion pages. When I make changes to a synced block in one location, those changes automatically reflect in every other instance of that synced block.

I usually create a synced block with the current project status and place it on project dashboards, meeting notes, and team communication pages. In another use case, I create a synced block for action item lists and place it in meeting notes, project plans, and personal task lists. The possibilities are endless here.
