5 Receive project task alerts in a Slack channel

This is one of my favorite Notion automations and a game-changer for my workflow. I have set up a system where if someone — or even I — changes a task’s status from ‘In Progress’ to ‘Drafted’ or ‘Completed’, I immediately receive an alert on a dedicated Slack channel.
This small tweak has saved me from constantly checking Notion, and it ensures I never miss a beat on important project milestones or tasks that need my attention.
Just last week, I had a critical blog post for an upcoming product launch. The task was in my Notion database with the status ‘In Progress.’ I was waiting for the team member to finish the draft so I could jump in for review.
The moment they finished writing and changed the task status from ‘In Progress’ to ‘Drafted,’ I received a Slack notification on my phone and desktop. I can even add a custom message while setting up an automation.
4 Change priority based on task status
Track high-priority tasks
I heavily rely on this automation to instantly prioritize what’s active. My setup ensures that the moment a task’s status changes from ‘Not Started’ to ‘In Progress’, its priority automatically shifts to ‘Urgent’.
For me, it’s about signaling immediate focus and ensuring I (or any team member) give attention to the task. For instance, I’m building a client’s website and tracking every task via a Kanban board in Notion. I usually take around three days to complete a specific task.
Whenever I start working on a task (let’s say designing a wireframe), I make sure to change the status so that the automation kicks in and sets its priority to Urgent. This ensures that the task stands out prominently on top of my list and I don’t miss a due date for it.
3 Get database notifications in Gmail
Keep your inbox busy
Beyond Slack, I have also set up my Notion databases to send me alerts directly to my Gmail inbox. This is helpful for notifications that require more detail or when I’m less active on Slack.
I use a couple of automations here. For my important databases, I have set an alert where Notion sends me an email about a database every week. In another instance, I have set an automation where I receive an email with a specific subject and message when someone changes a due date for a task.

2 Ping a specific person about a task
Keep your team members in the loop
This is another crucial automation in my workflow. Whenever a high-priority task is canceled, the Notion database alerts the front-end developer on the team.
Here, I set a trigger with two conditions — If a task priority is High and when the status is set to canceled. In the action menu, Notion sends an alert to a relevant team member with a specific message. The person can quickly check the task, remove it from the database, or talk to the assignee about the reason for cancellation.

1 Add Gmail receipts in Notion databases

I use a third-party tool called Zapier for this automation. Whenever I get an email with a receipt (from Amazon, software subscription, or Best Buy), I apply the Receipt label.
As soon as I apply this label, Zapier comes into play and creates a new entry in a specific database with the receipt name, email address, subject, and file attachment. That way, I can track all my receipts right from my Finance page in Notion. I have outlined step-by-step instructions for this automation in my dedicated post here.
