Collaborate with Gemini in Google Drive (Workspace Experiments)

Supported languages

You can use the Gemini in Drive side panel in some languages. Learn more about language availability.

With Gemini in Google Drive, you can:

  • Summarize a long document or an entire folder so you can quickly get the main points.
  • Discuss a topic that requires synthesizing information from one or more files in your Drive, either across your files or within a specific folder.
  • Retrieve quick facts about a project or topic without the need to find and read the relevant documents.
  • Move or create Google files and folders.

Get started with Gemini in Drive

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. In the side panel, select a suggested prompt or write your own prompt.
    1. Select from the list of suggestions.
      • To get more options, select More suggestions.
    2. At the bottom, in the prompt box, replace the example text with the information that you want.
    3. Press Enter.
    1. At the bottom, in the prompt box, enter a prompt.
    2. Press Enter.
  4. Optional: To remove your history, click More options ๐Ÿ‘ More
    ๐Ÿ‘ and then
    Clear history.

Important: You lose your conversation history when:

  • You reload your browser.
  • You close and reopen the document.
  • Your computer goes offline.

Things to ask Gemini in Drive

Search for your files

  1. On your computer, open Google Drive.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. To find a file based on its contents, in the prompt, enter the file details.

Select files & ask Gemini questions

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image

  3. In the side panel, select a prompt or create your own. To limit your query to a specific file, click Add Sources ๐Ÿ‘ Image
    or type โ€œ@โ€ followed by the file name.
    • Example: "Summarize the key points in '@Sales Team Meeting Notes.'"

    Tip: To remove selected resources, select the file(s) ๐Ÿ‘ and then
    Clear selected sources ๐Ÿ‘ Image
    .

  4. Press Enter.
  5. Gemini will display the summary of your file/document.

After receiving a response:

  • Show the whole summary of the suggested content: Click View more ๐Ÿ‘ More
    .
  • View which files and documents were used to generate the response: Click Sources.
  • Generate new text: Click Retry ๐Ÿ‘ Image
    .

You can also ask Gemini questions to understand your document better. Examples of prompts:

  • "When is our contract with Vendor A expiring?"
  • "Summarize this file for me in bullet points"
  • "How many customer sign-ups did we get for this test application?"
  • "Who wrote the Project B design doc?"

Select folders & ask Gemini questions

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
    1. In the side panel, select a prompt or create your own. To limit your query to a specific folder, click Add Sources ๐Ÿ‘ Image
      or type โ€œ@โ€ followed by the folder name.
      • Example: "Find my files for Project Clover in @2024 Projects."

    Tip: To remove selected resources, select the folder(s) ๐Ÿ‘ and then
    Clear selected sources ๐Ÿ‘ Image
    .

  3. Press Enter.
  4. After you receive a response:
    1. To show a full summary, click View more ๐Ÿ‘ Image
      .
    2. To find which files and documents were used to generate the response, click Sources.
    3. To generate new text, click Retry ๐Ÿ‘ Image
      .

Tip: To understand your folder better, you can ask Gemini questions, such as:

  • โ€œWhen is the next product review based on this folder?โ€
  • โ€œTell me about @[Contract folder]โ€
  • โ€œWhat are the documents from Alice in this folder?โ€

Summarize the selected file or folder & ask Gemini questions

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. In the side panel, select a summarize prompt or create your own. To limit your query to a specific file or folder, click Add Sources ๐Ÿ‘ Image
    or type โ€œ@โ€ followed by the file or folder name.
    • Example: "Summarize the key points in @Sales Team Meeting Notes."

  4. Press Enter.
  5. After you receive a response:
    1. For file summaries, click Sources to find which files and documents were used to generate the response
    2. To generate new text, click Retry ๐Ÿ‘ Image
      .

Summarize information across several files with Gemini

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. In the side panel, select a prompt or create your own.
    • Examples:
      • "Help me understand our team's 2024 strategy."
      • "Summarize project X."
  4. Press Enter.
  5. Gemini will get the information elaborating on a topic based on your Google Drive files.
  6. You can:
    • Send feedback about the suggested text: Click Good suggestion ๐Ÿ‘ Image
      or Bad suggestion ๐Ÿ‘ Image
      .
    • See a different version: Click Retry ๐Ÿ‘ Image
      .
    • View which files and documents were used to generate the response: Click Sources.

You can move up to 5 files to an existing folder. To move files from one folder to another:

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. In the side panel, enter a prompt. Examples:
    • โ€œMove @Acme-Results to @Clients-Acme folder.โ€
    • โ€œMove @Acme-Drafts and @Acme-Results to @Clients-Acme folder.โ€
  4. On your keyboard, press Enter.
  5. In the โ€œAction preview card,โ€ click Move.
    • You receive confirmation when the file is moved.
    • Check the permissions on the files as ownership and access may change.

To create new files and folders:

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. In the side panel, enter a prompt.
    • Examples:
      • โ€œCreate a folder called Design.โ€
      • โ€œCreate a sheet called Acme Campaign Planning.โ€
        • If you donโ€™t name the new file or folder, Gemini asks you what to name it.
  4. On your keyboard, press Enter.
  5. In the โ€œAction preview card,โ€ click Create.
    • You receive confirmation that the file or folder is created and where itโ€™s located.

To create new files with the content generated in the side panel:

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. Ask Gemini to create a table, summary, or image based on the content in your files or from the web.
  4. Click Export to Sheets or Export to Docs.
  5. After your file is ready, Gemini responds with a link to your new document.
    • To open and edit your file, click the link.

Tip: If you have a folder open in Drive and have edit access to that folder, the new file or folder is created within that folder. If youโ€™re anywhere else in Drive, itโ€™s created in My Drive.

  • โ€œHow can I make someone else the owner of my file?โ€
  • โ€œHow can I find a specific file in my Drive?โ€

Important: To get answers from the web, make sure to include phrases like โ€œUse Google Searchโ€ or โ€œUsing web searchโ€ in your prompt.

  • โ€œWrite a paragraph describing the weather today in Mountain View, California using web search.โ€
  • โ€œHelp me write a paragraph explaining if lightning can strike the same place twice using only information from the web.โ€
  1. On your computer, open Google Drive.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. Enter your question.
    • To limit your scope, you can @ mention files or folders by name.

You can ask Gemini to answer questions or summarize images in Drive.

  1. On your computer, go to drive.google.com.
  2. Double-click on the image file you want to analyze.
  3. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  4. In the side panel, select a prompt or create your own. For example:
    • โ€œSummarize this imageโ€
    • โ€œExtract text from this imageโ€
    • โ€œExtract information from this receipt or invoice into a tableโ€
    • โ€œGenerate alternate text for this imageโ€
    • โ€œWrite a story about this imageโ€
  5. On your keyboard, press Enter.

You can ask Gemini to generate images in Drive.

  1. On your computer, go to drive.google.com.
  2. At the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  3. On the side panel, create your own prompt.
    • Example: โ€œCreate an image of a dog with glasses.โ€

  1. On your computer, at the top right, click Ask Gemini ๐Ÿ‘ Image
    .
  2. On the right, in the side panel, click Gems.
  3. Click the Gem you want to use.
  4. Select a custom or premade Gem.
    • To start a conversation with the Gem, type a question or prompt at the bottom.
Tip: To create a Gem, go to gemini.google.com. You can then use your Gem in the Gemini app and Gemini side panel. Learn how to use Gems in Gemini Apps.

The file types you use most frequently are supported by Gemini in Drive. They include:

  • Text documents
  • Spreadsheets
  • Presentation
  • PDFs
  • Videos
  • Images

If your folder contains a large number of files or subfolders, Gemini may not incorporate every file in its response.

Give feedback on generated output

Gemini for Google Workspace is constantly learning and may not be able to support your request. Because feedback may be human readable, please do not submit data that contains personal, confidential, or sensitive information.

If you get a suggestion thatโ€™s inaccurate or that you feel is unsafe, you can submit feedback. Your feedback can help improve AI-assisted Workspace features and broader Google efforts in AI.

  1. At the bottom right of the generated text, click Good suggestion ๐Ÿ‘ Image
    or Bad suggestion ๐Ÿ‘ Image
    .
  2. If you select Bad suggestion ๐Ÿ‘ Image
    , you can select the issue you found and enter additional feedback.

Optional:

  • To review data thatโ€™ll be attached with your feedback, at the bottom, select the data. 
  • If you donโ€™t want to include the data with your feedback, to help us improve the product experience, uncheck the box next to โ€œAttach collected data to your feedback.โ€
  1. Click Next.
  2. Review additional context that you can share with your feedback. If you donโ€™t want to include the additional context with your feedback, uncheck the box next to โ€œAdditional context.โ€
  3. Click Submit.

Turn off Gemini in Drive

To turn off any of the features on Google Workspace Experiments, you must exit Workspace Experiments. If you exit, youโ€™ll permanently lose access to all Workspace Experiments features, and you wonโ€™t be able to rejoin Workspace Experiments. Learn more about how to exit Workspace Experiments.

How Workspace Experiments data in Google Drive is collected

When you use the Gemini in Drive side panel, Google uses and stores the following data:

  • Prompts you enter or select
  • Generated text
  • Google Workspace content that you have access to that is referenced to generate content (both Google-selected input and user-provided input).
  • Your feedback on the Gemini in Drive side panel.
