Add or edit a task

When you create a task, you can:

  • Add details.
  • Set a date and time.
  • Add a deadline.
  • Make it repeat on certain days.
  • Add subtasks.

Important:

  • Across all your lists, you can create up to 100,000 tasks.
  • For any list, you can create up to 20,000 uncompleted tasks.

Create a task

Create a task in Calendar

Important: Only work or school accounts can use the "Do not disturb" and "Automatically decline meetings" options.

  1. On your computer, open Google Calendar.
  2. On your calendar, click an empty slot.
    • Or, at the top left, you can click Create.
  3. Click Task.
  4. Update your task settings.
  5. Click Save.
Tip: To find a list of all tasks from the last 365 days, at the top of your calendar, click Pending tasks.

Description

Start date and time πŸ‘ Image

Enter the start date and how much time you plan to spend on the task.

Deadline πŸ‘ Image

Enter the date you expect to complete the task. The deadline appears on the "All day" section of Calendar.

Select a list for your task.

Advanced settings πŸ‘ event

Customize your task with additional options. You can:

  • Change the color of your tasks.
  • Set your availability to Free or Busy.
  • Turn on Do not disturb to mute chat notifications.
  • Turn on Automatically decline meetings if your availability is "Busy."
  • Select your task's visibility to others.

Create a task from Tasks in Calendar

  1. On your computer, select an option:
  2. Click Create.
  3. Enter your task details.
  4. Click Save.

Tips:

  • To add a task to an existing list, at the top, click Add a task.
  • Tasks with a date also appear on your calendar.

In most Google Workspace products, on the right, you can access Tasks in a side panel. You can also access Tasks in:

  1. In the side panel, on the right, click Tasks πŸ‘ Tasks
    .
  2. At the top, click Add a task.
  3. Enter a task.

Tips:

  • If you don’t see the side panel, click Show side panel πŸ‘ Image
    in the bottom right of the screen. Learn more about the side panel.
  • To add a task to an existing list, at the top of the list, click Add a task.
  • Tasks with a date and time also appear in Calendar.
  1. On your computer, open Gmail.
  2. Open an email.
  3. At the top, click Add to Tasks πŸ‘ Tasks
    .

Tip: You can also drag and drop an email into the Gmail side panel:

  1. In Gmail, on the right, click Tasks πŸ‘ Tasks
    .
  2. Drag and drop the email to the side panel.

Create a task based on a message

  1. On your computer, open Google Chat.
  2. Open a direct message.
  3. Hover over a message.
  4. Click More πŸ‘ More
    πŸ‘ and then
    Add to Tasks. Your task appears in the last list you view.

Tips:

  • When you add a date to your task, the task also appears in Calendar.
  • If you edit the task in Tasks, the Chat message stays the same.
  • To navigate back to your Chat message from Tasks, below the task, click the chat’s name.

Create a group task

  1. In Chat, open a space.
  2. At the top, click Tasks πŸ‘ and then
    Add space task.
  3. Enter your task details and include:
    • A title.
    • The date and time.
    • A description.
  4. Optional: To assign the task to a space member, click Assign πŸ‘ and then
    enter the member’s name.
    • When assigned, the assignee receives an email, and the task appears in their personal task list.
  5. Click Add.

Important: You can only add tasks from Google Docs if you have an eligible Google Workspace plan. Learn more about tasks in Google Docs.

  1. On your computer, open Google Docs.
  2. Open a document.
  3. Enter @task.
  4. Press Enter.
  5. Enter your task details.
  6. Assign the task to yourself or others.
    • When assigned, the assignee receives an email, and the task appears in their personal task list.
  7. Click Assign as a task.

Tip: To quickly assign tasks from a checklist, to the left of a checklist item, click Add to Tasks πŸ‘ Image
πŸ‘ and then
Enter the assignee and date.

Change a task 

  1. From your computer, open Tasks in Calendar.
  2. Click the task you want to change.
  3. Change the task info.

Tips:

Mark a task as complete

  1. From your computer, open Tasks in Calendar.
  2. To the left of a task, click Complete πŸ‘ Mark complete
    .

Delete a task 

  1. From your computer, open Tasks in Calendar.
  2. Point to the task you want to delete.
  3. Next to the task name, click Task options πŸ‘ More
    πŸ‘ and then
    Delete.
    • For repeating tasks, click Delete all.

Tip: To remove all complete tasks from a list, at the top of the list, click List options πŸ‘ More
πŸ‘ and then
Delete all completed tasks.

Learn about task notifications

  • If you add a date and time to your task, you get notifications at the scheduled date and time.
  • Tasks with a date also appear in the Calendar app.
  • For tasks without a time, notifications appear at 9 AM.
  • For tasks with a deadline, you get a notification to complete the task on the day of the deadline at 9 AM in your local time.

  • To repeat a task, select the date and time πŸ‘ and then

    .
  • Tasks with subtasks can't repeat.
  • In Calendar, a certain number of upcoming instances of a repeating task will appear on the calendar grid, and as time passes, new ones will be added automatically.
