Do you often feel overwhelmed by multiple work tools, endless emails, and project tasks? What if you could combine it all into one intuitive platform? I tried several such tools, but none of them met my requirements. After endless experiments, I came across Akiflow – a daily planner app with a powerful twist.
Akiflow lets me view all my tasks, emails, and project deadlines in a unified calendar, and with a time-blocking method, I can fly through my busy day with focus and intention. My experience with Akiflow has been a game-changer, and I'm excited to share how this powerful tool can boost your productivity too.
Cross-platform availability
Akiflow has nailed the cross-platform availability. It’s not just limited to one operating system or device. I love that I have a native app on my Mac, which feels incredibly smooth and integrated with my desktop experience. Then, when I'm on the go with my phone, whether it's a Pixel 8 or iPhone 15 Pro Max, there's a dedicated Akiflow app that keeps me connected and in control of my tasks and schedule.
But what really sealed the deal for me was discovering their web version. As someone who occasionally uses a Linux machine, it's fantastic to know that I can access the full power of Akiflow through my browser without any compromises (although some features are unavailable, but it still does the job).
Integration with multiple apps and services
Here is where Akiflow truly shines. It lets me connect with the tools I already rely on every single day. It's not about forcing me to abandon my existing workflows. For instance, my personal tasks live in Microsoft To Do, and with a single click within Akiflow, I was able to pull all of them in. No more switching between apps or manually copying tasks.
Similarly, our team uses Asana for project management, and connecting my workspace to Akiflow was just as effortless. All my project to-dos, deadlines, and assignments seamlessly appeared within my Akiflow view. This is quite handy for keeping track of both my individual responsibilities and my contributions to team projects, all in one place.
Gmail inbox is another useful integration. I often receive important emails with deadlines, like credit card bills or follow-up reminders. Akiflow allows me to connect my Gmail and easily turn these emails into actionable tasks with due dates, right from the Akiflow interface.
Time blocking approach
Now, let’s talk about the magic of Akiflow's time blocking. There are several productivity hacks, and being a content creator, I prefer the time blocking method to visualize my day. The first thing I loved was the ability to simply drag and drop tasks directly into the task view. It's such a visual and tactile way to plan my day. I can instantly see how my tasks fit into the available time slots.
I can easily adjust the allocated time for each task. If I realize a task will take longer than initially anticipated, I can just click and drag the bottom edge of its card on the calendar to enlarge its time frame. Conversely, if I finish something early, I can shrink the card to free up that time. This flexibility is fantastic because my day rarely goes exactly as planned, and Akiflow allows me to adapt in real-time.
How I ditched complexity and built a simple Notion time tracker
I set out to create a minimalist productivity system that focuses only on what’s essential
Project management capabilities
Beyond just managing individual tasks, Akiflow has also become my go-to for overseeing projects. Within Akiflow, I can create folders and start adding new projects with tasks to organize my work into broader categories. I can directly link these projects to projects I'm already managing in tools like Asana.
Akiflow's native project and task management features are surprisingly robust. I can break down larger initiatives into smaller, actionable tasks, assign due dates, and even add notes.
A robust command bar and Akiflow AI
The command bar has become my productivity toolkit. With a simple keyboard shortcut, I can bring up this powerful interface from anywhere, and add new tasks, schedule existing ones, jump to specific dates in my calendar, filter my tasks by project or tag, and even perform quick searches.
Usually, I’m not a fan of half-baked AI integrations. But Akiflow has done a decent job with it. I can ask it to prioritize my tasks based on urgency and importance, clear my day, move my tasks, ask for time slot suggestions, and optimize my day in no time.
No more wasted time
It’s no secret that Akiflow has made a huge impact on my workflow. However, it’s far from perfect. My biggest gripe is endless instructions and a long sign-up process when you use it for the first time. The company needs to dial down and simplify the UI, as there is too much going on on the home page.
Overall, if you are tired of constant switching and looking for an integrated way to manage your workload, give Akiflow a try. The company offers a 7-day free trial. Meanwhile, check out my dedicated post if you are looking for more tools to improve your time management.
