Thanks to its flexible structure, robust automation, and rich databases, Notion has become a crucial tool for countless individuals and teams. While many use it for basic note-taking or project management, its true power remains untapped. If you have ever wondered how to truly supercharge your workflow or bend Notion to your unique needs, you are in the right place.
After years of using Notion, I’m excited to share truly unique ways I’ve integrated Notion into my daily workflow. It not only streamlines my tasks but enhances my productivity and creativity in unexpected areas. Let’s rethink what’s possible with your favorite workspace.

7 Creating a subscription tracker in Notion
Keep a close tab on every active and inactive subscription
One of the most transformative ways I use Notion is as my personal subscription tracker. Before this setup, I was constantly losing track of what I was paying for, when things were renewing, and where my money was actually going. Now, it’s a central hub that gives me complete clarity and control.
I created a new database and named it ‘Subscription tracker’. I have added multiple columns like name, category, monthly cost, yearly cost, overall cost, status, payment method, next renewable date, payment type, notes, and links. I can set the ‘Monthly Cost’ property to sum at the bottom of each group.
Once the database is ready, I have added a chart to check my subscription spending across categories like productivity, entertainment, and more. If you want to learn more, check out my dedicated post where I have outlined the entire process.
6 Gathering data using Notion forms
Who needs Google Forms anyway?
Notion forms makes collecting information directly into my Notion databases incredibly streamlined. It’s perfect for everything from quick surveys and feedback forms to internal requests and sign-ups. As expected, it keeps everything within Notion and eliminates the need to jump between apps.
I can simply type /Form and start creating a new form with all the relevant options. I can add text, multiple choice, date, person, files & media, number, and checkbox type questions. As soon as someone submits the form, a new page instantly appears in my connected Notion database, with all the answers neatly filled into the correct properties.

5 Planning my next trip with Notion
Travel like a pro
One of my favorite uses for Notion is planning my next trip. Gone are the days of scattered browser tabs, half-forgotten restaurant recommendations, and dozens of searches for booking confirmations. Now, my entire trip lives within a dedicated Notion page.
I have created a dedicated page with widgets like weather and countdown, and added an entire itinerary database with details like name, type, date, area, rating, and more. Furthermore, I have added action items as well as emergency contacts, and even inserted a gallery of my favorite restaurants with relevant images.
4 Tracking my habits with deep analytics
Ditch your habit tracking app
I have tried several apps and paper journals, but Notion’s flexibility allows me to build a system that adapts to my evolving routine. At its core, my tracker is a simple database. Each entry in this database represents a single day, with a date property as the main identifier.
For each habit I want to track, I create a separate checkbox property. So, when I open up a page, I see a list of checkboxes, one for each habit. I have added a formula to calculate a progress percentage for the day based on how many checkboxes I have ticked versus the total number of habits.
3 Planning my home renovation
Take interior planning to the next level
Home renovation planning is always a complex process. Here is where Notion has become my central command center. I start with a main ‘Home Renovation Hub’ page. This isn’t just a simple page; it’s a dashboard filled with linked databases that represent every facet of the project.
I can add a project timeline database, a contractor and vendor database, and a design and inspiration database that links to my favorite Pinterest pages. Finally, a simple communication log database tracks every important conversation with contractors, suppliers, and family members.
2 Creating a video games library
Keep track of your favorite games
This is another one of my favorite Notion setups. I have created a dedicated media hub right into my Notion page. It first starts with the Now Playing database with a Gallery view to show my current games. The Notion page continues with my wishlist, a dedicated database for games with name, rating, status (playing, complete, wishlist, etc), reminder, and more. The possibilities are endless with this one.
1 Reviewing my business year
How did your business go?
As soon as the financial year is over, I fire up my Notion workspace and start writing about how my business year went. I have added several subpages like achievements, yearly review, challenges, business goals, and more. I also jot down my top three achievements to keep myself motivated.
My favorite part is the Lessons Learned section, where I create a list of pages where each page details a specific lesson, including what happened, the impact, and the takeaway for next year. I also link directly to my client database to review acquisition rates, retention, and key feedback received throughout the year.
Unlock Notion’s full potential
With these tricks, I have personally leveraged Notion to transform everything from my daily routines to my long-term goals. I also recommend heading to the Notion templates store for some inspiration. But once you get a creative idea, make sure to customize a Notion page to fit your specific needs. After all, the true beauty of Notion lies in its endless adaptability. So, don’t be afraid to experiment, combine ideas, and master Notion in no time.
