Find times to meet in Google Calendar

If someone shares their calendar with you, you can check their availability. You can also find times to meet.

Tip: If you have an eligible Google Workspace plan, you can use Gemini in Google Calendar to help you find a time to meet. .

Find someone else's calendar

  1. On your computer, open Google Calendar.
  2. On the left, click Search for people.
  3. Enter the name of the person.

Find a time when someone is available

If you need to check someone's availability, compare the calendars of your guests. These guests must have shared their calendars with you. This helps you find an open time slot.

  1. On your computer, open Google Calendar.
  2. At the top left, click Create ๐Ÿ‘ and then
    Event.
  3. Add guests to your event.
  4. Click Find a time.
  5. Optional: To manage your view, click Filter and view ๐Ÿ‘ Image
    :
    • Show or hide rooms: Click Show rooms.
    • Filter guests: Select No guests, Required guests, or All guests.
  6. Find an available time on your calendar and your guests' calendars.

Tips:

  • To check if a room is available:
    1. Click Add rooms or Add room booking.
    2. Choose a room.
  • If a room is selected but you do not find its schedule, click Filter and view ๐Ÿ‘ Image
    ๐Ÿ‘ and then
     Show rooms.

Compare calendars in "Day" view

If you subscribe to someone's calendar, you can check their schedule next to yours in your main calendar grid. This is a persistent setting that allows you to check each calendar in its own dedicated column rather than have them overlap.

  1. On your computer, open Google Calendar.
  2. At the top right, click Settings menu ๐Ÿ‘ Image
    ๐Ÿ‘ and then
     Settings.
  3. On the left, click View options.
  4. Check the box for "View calendars side by side in Day View".
  5. In your main calendar, make sure you are in "Day" view.

Learn what you need to find someoneโ€™s calendar

  • If the personโ€™s calendar is shared publicly or within your organization, you can find their calendar.
  • If the person does not share their calendar with you, you can send them a request to share it. After they share their calendar, you get an email confirmation.
