Create & manage tasks in Google Calendar

In Google Calendar, you can create, view, and change tasks.

Create a task in Calendar

  1. On your Android phone or tablet, open the Google Calendar app πŸ‘ Calendar
    .
  2. On your calendar, tap an empty slot πŸ‘ and then
    Task.
  3. Update your task settings.
  4. At the top right, tap Save.

Tip: To find a list of all tasks from the last 365 days, at the top of your calendar, tap Pending tasks.

Description

Start date and time πŸ‘ Image

Enter the start date and the time you plan to spend on the task.

Deadline πŸ‘ Image

Enter the date you expect to complete the task. The deadline appears on the "All day" section of Calendar.

Enter the date when the task must be completed.

Task list πŸ‘ Image

Select a list for your task.

View, edit, or delete tasks

Tasks must have a date to appear in Google Calendar. To turn on Tasks: 

  1. Go to the Calendar app πŸ‘ Calendar
    .
  2. At the top left, tap Menu πŸ‘ Image
    .
  3. Make sure the β€œTasks” box is checked.
  4. Any tasks with dates will appear on your calendar.

Tip: A list of all uncompleted tasks from the last 365 days are shown as β€œPending tasks,” which can be found in the current day.

  1. Open the Google Calendar app πŸ‘ Calendar
    ,
  2. In the top left, tap Menu πŸ‘ Menu
    .
  3. Uncheck the box next to β€œTasks.”

Tip: Hiding tasks won't turn off tasks notifications. To turn off tasks notifications, go to Calendar Settings πŸ‘ Image
πŸ‘ and then
General πŸ‘ and then
Tasks notifications.

  1. ​Open the Google Calendar app πŸ‘ Calendar
    .
  2. Tap a task to update πŸ‘ and then
     Edit task πŸ‘ Edit task
    .
  3. Update task details.
  4. Tap Save.
  1. On your Android phone or tablet, open the Google Calendar app πŸ‘ Calendar

  2. Tap the task you want to edit πŸ‘ and then
    Edit task πŸ‘ Edit task
    .
  3. Tap the Deadline πŸ‘ Image
    , enter a new due date for the task.
  4. At the bottom right, tap Save.
  1. Open the Google Calendar app πŸ‘ Calendar
    .
  2. Tap a task to update πŸ‘ and then
    Mark completed.

Completed tasks are shown on your calendar by default.

To hide completed tasks crossed out in your calendar, you can adjust your settings.

In your settings

  1. On your Android phone or tablet, open the Google Calendar app πŸ‘ Calendar
    .
  2. Tap Menu πŸ‘ Menu
    πŸ‘ and then
    Settings πŸ‘ Image
    πŸ‘ and then
    General.
  3. Turn off Show completed tasks.
  1. On your device, open the Google Calendar app πŸ‘ Calendar
    .
  2. On the calendar grid, tap the task you want to report.
  3. At the top right, tap Options πŸ‘ More
    .
  4. Tap Report as spam πŸ‘ and then
    Report as spam.

When you delete a task from your calendar, it’s removed completely.

  1. Open the Google Calendar app πŸ‘ Calendar
    .
  2. Tap the task to delete πŸ‘ and then
    More πŸ‘ More
    πŸ‘ and then
    Delete πŸ‘ and then
    Delete.

Find & edit pending tasks

To check all uncompleted tasks from the last 365 days:

  1. Open the Google Calendar app πŸ‘ Calendar
    .
  2. While viewing a day’s schedule, tap Pending tasks.
  3. In the pop-up list, choose how to update pending tasks:
    • To edit a task, tap the task, tap the pencil icon πŸ‘ Edit
      , make your changes, and tap Save.
    • To delete a task, tap the task and tap the πŸ‘ More
      , then tap Delete.
    • To complete a task, swipe right.

Learn about task notifications

  • If you add a date and time to your task, you get notifications at the scheduled date and time.
  • Tasks with a date also appear in the Calendar app.
  • For tasks without a time, notifications appear at 9 AM.
  • For tasks with a deadline, you get a notification to complete the task on the day of the deadline at 9 AM in your local time.

Learn about repeating tasks

  • To repeat a task, select the date and time πŸ‘ and then
    Repeat πŸ‘ Image
    .
  • Tasks with subtasks can't repeat.
  • In Calendar, a certain number of upcoming instances of a repeating task will appear on the calendar grid, and as time passes, new ones will be added automatically.
